TRAUMA 2026 Conference – Terms of Registration and Participation

Conference Information

TRAUMA 2026 is organized at Institute of Medical Sciences, Banaras Hindu University (B.H.U.), Varanasi, during October 8-11, 2026. This conference is the 16th Annual Conference of the Indian Society for Trauma & Acute Care (ISTAC®).

Registration Rules & Eligibility

  • Registration is open to medical professionals, researchers, students, and healthcare personnel interested in trauma and acute care.
  • Participants must provide accurate personal and professional information during registration.
  • One registration per individual email address and mobile number.
  • Group registrations must be submitted individually with unique email addresses.
  • Registration grants access to conference sessions, workshops, and materials as specified.

Payment Terms

  • Payment Methods: Online payment via secure payment gateways (Razorpay, PhonePe, UPI, Credit/Debit Cards).
  • Currency: All payments must be made in Indian Rupees (INR).
  • Registration Confirmation: Registration is complete only after successful payment.
  • Payment Security: We use encrypted payment gateways. Never share payment details via email or phone.
  • Invoice: An invoice will be provided after successful payment completion.

GST Applicability

  • GST (Goods and Services Tax) at applicable rates will be added to all registration fees.
  • Current GST Rate: 18% (subject to change as per government notification).
  • Registered businesses can claim GST credit as per applicable laws.
  • GST-inclusive pricing will be clearly displayed during registration.

Cancellation Policy

Cancellation Period Refund %
Before August 31, 2026 100% (minus processing charges)
September 1-15, 2026 75% (minus GST and processing charges)
September 16-30, 2026 50% (minus GST and processing charges)
After September 30, 2026 No Refund

Cancellation requests must be submitted in writing to traumacon.2026@gmail.com.

Refund Policy

  • Refunds will be processed to the original payment method within 7-10 business days.
  • Processing charges (if any) will be deducted from refunds.
  • GST will be deducted as per the date of cancellation.
  • No refund will be issued for delegates who simply do not attend the conference.
  • In case of technical issues with payment, contact support within 48 hours.

Workshop Seat Allocation

  • Workshops have limited seats based on venue capacity and speaker availability.
  • Seat allocation is on a first-come, first-served basis.
  • Once a workshop is fully booked, no further registrations will be accepted.
  • Participants can cancel and switch to another workshop (subject to availability) up to 15 days before the event.
  • Workshop certificates will be issued to participants who attend at least 80% of the sessions.

Abstract Submission Policy

  • Abstracts must be original and not previously published in full.
  • Abstract submission deadline: August 31, 2026.
  • Notification of acceptance: September 15, 2026.
  • Maximum word limit: 500 words.
  • The organizing committee reserves the right to accept, reject, or suggest modifications to abstracts.
  • Accepted abstract authors must present at the conference to be eligible for awards.
  • No refund of abstract submission fee will be provided after submission.

Event Modification Rights

  • The organizing committee reserves the right to modify, reschedule, or cancel conference sessions/workshops if necessary.
  • Changes will be communicated to registered participants via email as soon as possible.
  • In case of cancellation due to unforeseen circumstances, full refunds will be processed.
  • Speaker changes or session rescheduling will not entitle participants to cancellation or refund.

Liability Limitation

  • The organizing committee is not responsible for personal injury, loss, or damage to belongings during the conference.
  • Participants are advised to arrange their own travel and health insurance.
  • The committee will not be liable for any technical failures or interruptions in online components.
  • By registering, you assume all risks associated with attending the conference.

Force Majeure

  • In case of unforeseen circumstances (natural disasters, government restrictions, health emergencies), the organizing committee may postpone or cancel the event.
  • In such cases, full refunds or registration transfer to the next year's conference will be offered at participant's choice.

Governing Law & Jurisdiction

  • These Terms and Conditions are governed by the laws of India.
  • The venue for any legal proceedings shall be the courts of Varanasi, Uttar Pradesh.
  • By registering for the conference, you agree to submit to the exclusive jurisdiction of the above courts.
